Guide: How to set up an effective callback function

Implementing callback in customer service is a simple way to reduce phone queues, smooth out workloads, and give customers a smoother experience. But for the function to truly deliver, it needs to be well-thought-out – from when it is activated to how the callback is performed and followed up. In this guide, you will get concrete steps to set up an effective callback solution that both saves time and increases customer satisfaction.

1. Determine when to offer a callback

  • After X number of minutes in the queue.
  • At full staffing or high workload.
  • Outside office hours with scheduled call-out the next day.
